Facility Rental Agreement
Once your event request is approved, please complete the agreement and payment to finalize your reservation.
Please note that this form should only be filled out after receiving approval from a WCHS volunteer.
Rental Policy
In all instances, Renter refers to the Responsible Party signing this Agreement with the understanding their signature denotes acceptance for the terms and conditions established by the Warren County Historical Society (WCHS).
Availability
Only members of the Warren County Historical Society can rent the meeting room and kitchen. There will be a fee of seventy-five dollars ($75) payable per event with delivery of the signed agreement. This fee will be returned in the event the Renter must unexpectantly cancel their event.
This rental agreement includes use of the kitchen, open meeting area, and two bathrooms. All other spaces are excluded and should not be used, accessed, or made part of the Renter’s event without prior approval. Excluded area include, but are not limited to: office area and equipment (computers, copiers, etc.), desktop materials and items, storage rooms & closets, Kitty Picken Research Library, exhibits, cabinets, shelves, wall hangings, and artifacts.
Outside Surroundings
Warren County Historical Society (WCHS) will not alter their normal processes regarding outside surroundings, which includes access, condition of the roads, plantings, parking areas, snow & ice removal. Should additional services be desired, Renter may discuss with WCHS but may ultimately be responsible for such services. Renter understands the grounds often hold activities outside WCHS control which may impact parking, accessibility, and noise levels.
Decorations
While decorations are allowed, Renter agrees not to use duct tape or any other product leaving a residue upon its removal. All tape must be completely removed. Artifacts must never be incorporated into Renter’s decorations with prior approval. Renter accepts all risk associated with hanging decorations, even when using WCHS ladders, stepstools, etc.
Set-up & Take Down
Renter agrees to bring their own beverages, including coffee & tea, as well as providing plates, napkins, cups, etc. Metal silverware is available for Renter’s use and must be washed and returned to its original location. Items like coffee pots and utensils are available and must be washed and returned to their original location. Renter is responsible for all losses and damages apart from unexpected breakdowns, which will be determined by WCHS. If tables and chairs are rearranged, Renter will return to their original configuration.
Clean-up
All trash must be bagged and taken outside to the dumpster at the south end of the building. Fairground dumpsters cannot be used. All surfaces must be washed, wiped, and clean. This includes tables, chairs stovetops, and counters. Brooms and mops, located in the closet north of the entrance, are available for cleaning floors. Renter’s food items will be removed from refrigerators and freezers.
Smoking and Alcohol
Renter agrees there will be no tobacco use and no smoking, which includes e-cigarettes, vaping, etc. Alcohol beverages are also prohibited. Smoking and Alcohol use is not allowed inside the facility or on surrounding grounds, which includes but is not limited to the Heritage Village.
